Privacy Policy
This page explains exactly what happens to information you share with Acceleris Labs through this website. It describes what we actually collect, which services process it, and what you can ask us to do about it — written against how the site really works, not from a template.
Who we are
Acceleris Labs Inc. is a corporation registered in Ontario, Canada, and is the controller of the information described on this page. You can reach us about anything here at brent@accelerislabs.com, and we will provide our registered postal address on request.
What we collect, and when
When you submit one of our forms
We have a contact form on the homepage and one at the foot of our articles. They collect what you type: your name and email address, your company and phone number if you choose to give them, and your description of the problem you want help with. We record this alongside the date and time and which page you sent it from, so we know what you were reading when you got in touch. We use it only to reply to you and to run the consultation you asked for.
When you use the Scout chat
Your messages are sent to OpenAI so a reply can be generated, and the conversation is stored so we have a record of what was discussed. If you share contact details in the chat, those are recorded alongside it so we can follow up.
Please do not paste passwords, financial details, health information, or other people’s personal data into the chat. It is a sales conversation tool, not a secure channel.
When you simply browse
We run two advertising tags: one from Google and one from Meta. They record that a visit or an enquiry happened, so we can tell which advertising is worth paying for, and they let us show our ads again to people who have visited this site. The savings calculator is different — it runs entirely in your browser, and the numbers you type into it are never sent to us.
To keep the site working
When you submit a form or send a chat message, your IP address is used to count requests and stop the forms being abused. It is held for roughly two hours for that purpose and is not written into our enquiry records. Our hosting provider also processes standard request information in order to deliver and protect the site.
Why we use it, and our legal basis
If you are in the EEA or the UK, the GDPR requires us to name a legal basis for each purpose. Ours are:
- Replying to your enquiry and running a consultation — necessary to take steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
- Generating chat replies and keeping a record of the conversation — our legitimate interest in answering questions about our services and knowing what was discussed.
- Rate limiting and site security — our legitimate interest in keeping the site available and free of abuse.
- Advertising measurement and retargeting — your consent. The section on cookies below explains honestly how that works today and what you can do about it.
Who processes it, and where
We use a small number of established providers. Each receives only what it needs to do its job:
- OpenAI (United States) — generates the Scout chat replies. Your chat messages are sent to their API to produce a response.
- Google (United States) — Google Ads conversion measurement, and Google Sheets, where enquiry details are recorded for follow-up.
- Meta (United States) — advertising measurement for Facebook and Instagram, and the audiences used to show our ads to people who have visited this site.
- Cloudflare (global) — hosts this website, receives form submissions, and stores chat transcripts and usage records.
International transfers. We are based in Canada and the providers above are largely in the United States, so information you send us is processed outside the EEA, the UK, and possibly outside your own country. Where those transfers are subject to the GDPR, they rely on the European Commission’s Standard Contractual Clauses or on an adequacy decision, as set out in each provider’s own terms.
We do not sell your information for money, and we do not disclose it to anyone beyond the providers above and the people at Acceleris Labs who need it in order to reply to you.
Cookies, advertising, and your choices
This site sets cookies through the Google Ads and Meta tags to measure whether an advert led to an enquiry. The Meta tag does one thing more: it lets us show our ads on Facebook and Instagram to people who have already visited this site. That means Meta is told you visited, and can match that to your Facebook or Instagram account if you have one.
Being straight with you about consent. These tags currently load when the page loads, rather than waiting for you to agree first. If you are somewhere that requires prior consent, that is not a standard we are meeting yet, and we would rather say so than imply otherwise. Until we change it, you can stop the tags entirely by blocking cookies or third-party scripts in your browser, or by using a tracking-blocking extension. The site, the forms and the chat all still work if you do.
You can also limit how these companies use your activity for advertising in your Facebook ad preferences and your Google Ad Center.
How long we keep it
- Enquiries — kept for as long as we may reasonably need them for the business relationship, and deleted sooner if you ask.
- Chat transcripts — currently kept until we delete them; there is no automatic expiry today. Ask us and yours will be removed.
- Usage and duplicate-prevention records — about 30 days.
- Rate-limiting records containing an IP address — about two hours.
Your rights
Wherever you live, you can ask us to tell you what we hold about you, correct anything that is wrong, delete your enquiry or your chat transcript, or stop contacting you. Send the request to brent@accelerislabs.com or through any form on the site. You do not need to give a reason, and we will not treat you differently for asking.
If you are in the EEA or the UK
You additionally have the right to access your data, to have it corrected or erased, to restrict or object to how we use it, to receive it in a portable form, and to withdraw consent at any time without affecting anything done before you withdrew it. You also have the right to complain to your national data protection authority.
If you are in California
Under the CCPA as amended by the CPRA you have the right to know what personal information we collect and why, to delete it, to correct it, and to opt out of its sale or sharing — and you may not be discriminated against for exercising any of them.
We do not sell personal information. We do, however, “share” it as California defines that word: our Meta tag discloses that you visited this site so that we can advertise to you elsewhere, which is cross-context behavioural advertising. The categories involved are identifiers and internet activity. To opt out, email brent@accelerislabs.com with “Do not share my information” and we will suppress you, or block the tags in your browser as described above. We do not collect sensitive personal information, and we do not knowingly process data about anyone under 16.
If you are in Canada
Under PIPEDA you may request access to the personal information we hold about you and challenge its accuracy. If you are not satisfied with how we handle a request, you can complain to the Office of the Privacy Commissioner of Canada.
Children
This site is aimed at businesses and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has sent us something, tell us and we will delete it.
Security
Information is held in the systems described above, reached over encrypted connections, and restricted to the people who need it. No system is perfect, and we would rather say that plainly than promise otherwise.
Changes to this policy
If we add or change a tool that handles your information, we will update this page and change the date at the top. If the change is significant, we will say what changed.
